Questions to Ask a Uniform Manufacturer Before You Order

Uniform fabric swatches in a range of colours

The right questions to ask a uniform manufacturer are the ones that show how your order will actually be made: where, from what fabric, to which sample, at what total cost and how it will be matched next time. Clear answers before you confirm are worth more than any promise after. Use the questions below as a checklist when you speak to suppliers, and note down what each one says.

About the uniform manufacturer

Start by understanding who you are dealing with.

  1. Do you make the garments yourselves, or do you source them from other units? Both models exist. A trader can be useful, but you should know whether the person quoting controls production.
  2. Where is the production unit? Knowing the location helps with planning visits, delivery and time zones.
  3. What garments do you make regularly? A uniform manufacturer that stitches scrub suits every week will know their details better than one that makes them occasionally.
  4. Can I see examples of similar work? Photos of garments in production, or a physical sample of a comparable style, tell you more than a catalogue.
  5. Who will be my contact during the order, and how do I reach them? One named person, with working hours, saves a lot of chasing.

About fabric

Fabric decides how the uniform feels, how long it lasts and how it looks after washing.

  1. What fabric do you recommend for our use, and why? Listen for reasons tied to your climate, washing and work, not just a fabric name.
  2. What is the fibre content and fabric weight? For example, a poly-cotton blend in a particular weight.
  3. Can you send a fabric swatch in our colour? Compare it with your reference in daylight.
  4. How should it be washed? This shapes your laundry instructions and your care labels.
  5. If a fabric has a special finish, can you share the fabric specification? Finishes such as stain-release or moisture-wicking are claims made by fabric mills. Ask for the specification in writing rather than relying on a description.

About samples and approval

  1. Will you make a sample in our fabric, colour, style and embroidery before production?
  2. Is there a charge for the sample, and is it stated in the quote?
  3. How are corrections handled if the sample needs changes?
  4. Will the bulk order be checked against the approved sample?

A manufacturer who is comfortable answering these is usually one who expects to be held to a standard.

About sizes and fit

  1. What size chart do you use, with measurements? Ask for chest, length and waist measurements for each size, not just labels like M and L.
  2. Can sizes be adjusted or extended? Useful for larger or smaller staff, or for a school range from small children to senior students.
  3. Can we have a size set to try before we confirm sizes?
  4. How will garments be packed? By size, department, class or person, depending on how you will distribute them.

About branding and labels

  1. How is the logo embroidered, and will you show us a stitched sample? Screen colours and thread colours rarely match exactly.
  2. Can you add individual names or titles? If so, how should the name list be supplied?
  3. Can you sew in our own brand, size and care labels? Essential if you run a uniform brand or shop.

About quantities, timing and cost

  1. What is the minimum order for our styles and colours?
  2. What is the lead time from sample approval to dispatch?
  3. What exactly does the quoted price include? Fabric, stitching, embroidery, labels, packing and delivery should each be clear.
  4. What are the payment terms?
  5. For international orders, how is shipping quoted, and who pays import duties and taxes? The usual answer is that the buyer pays these unless agreed otherwise in writing. Confirm the details with your customs broker or freight forwarder.

If cost is a deciding factor, our post on what affects uniform cost in a bulk order helps you compare quotes on equal terms.

About reorders and after delivery

  1. Do you keep records of our fabric, colour, style and sizes for reorders?
  2. Can we reorder small quantities later for new joiners?
  3. What happens if pieces arrive damaged or short?

The answers here matter as much as the first order. A uniform is rarely bought just once.
