How a Bulk Uniform Order Works, Step by Step

Custom Uniforms team · · 4 min read

School uniforms for primary, middle and senior students

A bulk uniform order moves through a predictable set of stages: enquiry, quote, sample, size breakdown, confirmation, production and delivery. Each stage has one or two decisions that belong to you as the buyer. Knowing them in advance is what keeps an order on time and free of surprises.

Before you get in touch: what to prepare

The more complete your first message, the more accurate the quote. You do not need everything finalised, but try to have:

  • Garment list. For example, scrub top and trousers for nurses, lab coats for doctors, or shirts, trousers and pinafores for a school.
  • Approximate quantities for each garment.
  • Colours, with a photo or an existing garment as a reference if you have one.
  • Logo files and where you want them, plus whether names or titles are needed.
  • Fabric preferences, or the conditions the uniform will be worn in.
  • Your date, meaning when the uniforms must be in hand, not when you would like production to start.
  • Delivery address, and for orders outside India, the destination country.

A school might add class-wise differences, such as shorts for younger boys. A hospital might add a role colour plan.

Step 1: The quote

The manufacturer reviews your brief, asks any questions, and sends a quotation. A useful quote states the price for each garment, the fabric, any embroidery or label work, the sample charge if there is one, the minimum order, the lead time, delivery charges and payment terms.

Read it line by line. If something you asked for is missing, raise it now rather than after confirmation.

Step 2: The sample

Before any cutting, a sample is made in your fabric, colour, style and embroidery. You check it for colour, fit, stitching, logo position and labels, then either approve it or send one clear list of changes. A corrected sample may follow.

This is the step most worth taking seriously. Our post on why sample approval matters has a checklist to use.

Step 3: The size breakdown

Once the design is settled, you confirm exactly how many of each garment in each size. This is where many bulk orders go wrong, usually because sizes were guessed rather than collected. Ask staff or students to try sample sizes where possible, and collect results in one spreadsheet with names, roles or classes, and sizes.

For hospitals, our guide on collecting staff sizes for a bulk scrubs order explains a simple method. For schools, a class-wise list works well.

Add a small number of extra pieces in common sizes for new joiners, spares and later replacements.

Step 4: Confirmation and payment

With the sample approved and sizes fixed, you confirm the order in writing. Payment terms, such as an advance before production and the balance before dispatch, are agreed at this point. The confirmed order should list styles, colours, quantities by size, embroidery details, labels, packing and the agreed delivery date.

After confirmation, changes to fabric or colour are difficult, because fabric may already be bought or dyed. Small additions are usually easier than changes.

Step 5: Production

Inside the unit, a bulk uniform order goes through these stages:

  1. Fabric sourcing in the approved fabric and colour.
  2. Cutting in layers, by size, from the pattern.
  3. Stitching of each garment.
  4. Embroidery of logos, names or badges, either on cut panels before stitching or on finished garments.
  5. Finishing: trimming threads, attaching buttons, pressing and adding labels.
  6. Checking garments against the approved sample.
  7. Packing, often by size, department or class, depending on what you agreed.

During production, a short update or a photo of the first finished pieces is a reasonable thing to ask for.

Step 6: Delivery, checking and the next order

Orders within India go by courier or transport to your address. For international orders, the shipping method depends on quantity and date, and import duties, taxes and clearance are handled at the destination.

When the cartons arrive:

  • Count garments by style and size against the packing list.
  • Check a few pieces from each carton against the approved sample.
  • Report any shortfall or defect promptly, with photos.
  • Keep one garment of each style as your reference for future orders.

A bulk uniform order does not really end at delivery. New staff join, students move up a size, and garments wear out. Keep the order reference, the size breakdown and your reference garment. When you reorder, quoting the original order makes it much easier to match fabric, colour and embroidery.
