Working With a Uniform Manufacturer in India: UK Buyers
Custom Uniforms team · · 4 min read
UK buyers can work smoothly with a uniform manufacturer in India by sending a detailed brief, approving a couriered sample, settling label wording on their side, and agreeing who pays shipping and import charges before production starts. The time difference leaves a useful window of overlap each morning in the UK. This guide is for clinics, care providers, schools, uniform shops and brands in the UK planning a made-to-order uniform order from India.
Who orders uniforms from India in the UK
UK enquiries tend to come from a few kinds of buyer:
- Uniform brands and online sellers who want garments made under their own label.
- Uniform shops supplying local schools and wanting their own range.
- Clinics, dental practices, vet practices and care providers who want scrubs or tunics in their own colours with embroidered logos.
- Independent schools and academies with specific colours and badges.
Each has different priorities, but the process is similar.
Preparing a brief for a uniform manufacturer in India
The more complete your brief, the faster and more accurate the quote. Send:
- A list of garments, with a reference photo or existing garment for each.
- Colours, ideally with a physical swatch or a garment to match.
- Fabric expectations, or a request for recommendations with the full specification.
- Your size range. UK sizing differs from Indian sizing, so send a size chart with garment measurements, or a garment that fits well in each size.
- Logo artwork and embroidery positions.
- Label requirements: brand label, size labels and care labels, with the exact wording.
- Quantities by size and style.
- The delivery address and the date you need the goods.
If you are building a brand, a full tech pack with measurements and construction details makes all of this more precise.
Labels and your responsibilities
If garments will be sold or supplied under your name in the UK, the content of the labels is your responsibility as the brand owner. That includes fibre composition, care instructions and any other information you are required to show.
A manufacturer can sew in the labels you specify, in the positions you choose. You should:
- Confirm the fibre composition with the manufacturer from the fabric specification.
- Decide the care instructions, ideally after washing samples yourself.
- Check current UK labelling requirements with a trade body, adviser or the relevant authority.
- Approve the final label artwork in writing.
Our care labels guide for clothing brands covers the practical side in more detail.
Time differences and communication
India is five hours thirty minutes ahead of the UK in winter and four hours thirty minutes ahead during British Summer Time. A team in India working 9:00 am to 6:00 pm IST is available until 12:30 pm UK time in winter and 1:30 pm in summer.
That gives a reliable morning window for calls and quick decisions. Messages sent in the UK afternoon will usually be answered the next morning, UK time. Plan approvals with this rhythm in mind, and keep decisions in writing by email.
Sampling across the distance
Ask for a sample in your fabric, colour, size and embroidery, sent by courier. When it arrives:
- Measure it against your size chart, not only by trying it on.
- Wash it following the care instructions you plan to use, and measure again.
- Check the labels, wording and positions.
- Compare colour in daylight against your reference.
Send all feedback together, with photos and measurements. If fit changes are needed, a second sample is usually worth the time.
Shipping and import charges
Uniforms travel from India to the UK by air courier for smaller or urgent shipments, or by sea freight for larger volumes when time allows. The quote should itemise shipping.
| Cost or task | Usual arrangement | What to check |
|---|---|---|
| Shipping from India | Itemised in the quote | Air courier or sea freight, and where delivery ends |
| Import duty and VAT | Paid by the buyer unless agreed otherwise | Current treatment with a customs broker |
| Customs clearance | Buyer or their agent, or as agreed | Who handles the declaration and documents |
| Delivery to final address | Depends on agreed terms | Whether it is included in the shipping quote |
Duty and VAT treatment depends on the goods, their origin and current rules, so confirm with your customs broker, freight forwarder or the relevant UK authority before ordering. If you want terms where the seller takes on more of this, our guide to DAP vs DDP for uniform buyers explains the difference.
Payment and reorders
Payment is normally by bank transfer, on terms agreed before confirmation. Check the currency, schedule and what is included.
For reorders, refer to the original order so fabric, colour, style, labels and size breakdown can be matched. Keep a reference garment from the first batch.
