Choosing a Uniform Supplier in India for UAE Buyers

Working with a uniform supplier in India from the UAE is straightforward when you send a complete written brief, approve a sample before bulk production, and agree in writing how shipping, duties and payment will be handled. India is only an hour and a half ahead of the UAE, so communication during working hours is easy. This guide covers the practical steps for clinics, schools, hotels and companies in Dubai, Abu Dhabi, Sharjah and the other emirates.

Why UAE buyers look to India for uniforms

Many organisations in the UAE already work with suppliers in India for many products, and uniforms are a natural fit. Buyers often look for:

  • Made-to-order uniforms in their own colours, fabrics and sizes rather than whatever is in stock locally.
  • Embroidery of logos, names and job titles.
  • Private label garments with their own brand, size and care labels.
  • A supplier who keeps records so reorders match the first batch.

Short working-hour overlap and frequent shipping links between India and the UAE make the practical side manageable.

What to send a uniform supplier in India

A clear first message saves several rounds of questions. Include:

  1. The garments. For example scrub suits, lab coats, staff uniforms or school uniforms, listed separately.
  2. Quantities, ideally broken down by size, or an estimate if you are still collecting sizes.
  3. Colours, with a photo or a physical reference if you have one.
  4. Fabric preferences, or a request for a recommendation suited to UAE heat and air-conditioned interiors.
  5. Logo artwork and any names or titles to embroider.
  6. Labels, if you want your own brand, size or care labels.
  7. Delivery address and the date you need the uniforms.

If you are not sure about sizing, our guide on collecting staff sizes for a bulk scrubs order explains a simple method.

Sample approval from a distance

A sample is even more important when the supplier is in another country. Ask for one garment in your chosen fabric, colour and embroidery, sent to you by courier before bulk production starts.

When it arrives:

  • Check the colour in daylight and under your workplace lighting.
  • Have staff of the right size wear it during a normal shift.
  • Wash it as it will be washed in practice.
  • Send your comments in one written list, with photos.

The sample charge and the courier cost for sending it should both be shown in the quote.

Time zones and communication

India Standard Time is one hour thirty minutes ahead of Gulf Standard Time. A supplier in India working 9:00 am to 6:00 pm IST is available from 7:30 am to 4:30 pm in the UAE, which covers most of a UAE working day.

Practical tips:

  • Agree a main channel, such as WhatsApp for quick questions and email for decisions and approvals.
  • Keep a written record of every approval: sample, sizes, quantities and delivery.
  • Name one person on each side who can confirm changes.

Shipping, duties and paperwork

Uniforms from India usually travel to the UAE by air courier for smaller or urgent orders and by sea freight for larger, less urgent ones. Which is better depends on quantity, weight and your deadline.

On costs and responsibilities:

Item Who usually arranges it What to confirm
Shipping to the UAE Supplier, itemised in the quote Air courier or sea freight, and the delivery point
Import duties and VAT Buyer, unless agreed otherwise Current rates with your customs broker or freight forwarder
Customs clearance Buyer or their agent Documents needed and who handles clearance
Local delivery after clearance Depends on the agreed terms Whether it is included

Import rules and charges can change, so confirm the current position with your customs broker, freight forwarder or the relevant UAE authority before you order. Our guide to air courier vs sea freight for uniform orders explains the trade-offs.

Payment and terms

International uniform orders are usually paid by bank transfer, on terms agreed before the order is confirmed. Make sure the quote states the total, what it covers, the payment schedule and the currency. Anything not in writing, such as who pays duties or who handles clearance, is worth clarifying before you transfer any money.

Planning reorders

Once the first order is delivered, keep one unworn garment as a reference. When you reorder, refer to the original order so the supplier can match the fabric, colour, style and embroidery. Plan reorders with enough time for production and shipping, especially before busy periods.

How we work with UAE buyers

We make scrub suits, lab coats, nurse uniforms, staff uniforms and school uniforms to order at our unit in Konni, Pathanamthitta, Kerala, with custom colours, fabrics, sizes and logo or name embroidery. We can sew your own brand, size and care labels into the garments. A sample can be made and couriered before bulk production, with any sample charge stated in the quote. Shipping is itemised in the quotation, and import duties, VAT and clearance charges are paid by the buyer unless agreed otherwise in writing. Misharen is a registered business and a registered brand in the UAE. Our team is available Monday to Saturday, 9:00 am to 6:00 pm IST.
