Ordering Uniforms in Saudi Arabia from India: A Buyer’s Guide
Custom Uniforms team · · 5 min read
Ordering uniforms for Saudi Arabia from India works well when the order is planned as a project rather than a single purchase: a clear brief, an approved sample, an agreed shipping method and a clear understanding of who pays import charges. Most of the risk sits in the details that are easy to skip when the supplier is in another country. This guide walks through each stage so you can plan with confidence.
Who orders uniforms from India
Saudi buyers who look to India for made-to-order uniforms are usually organisations with a fixed look they want to keep: polyclinics and medical centres that want scrubs and lab coats in their own colours, Indian-curriculum and international schools with a set uniform, and companies that want support-staff and housekeeping wear with their logo. Uniform brands and shops in the Kingdom also use Indian manufacturers to sew garments under their own label.
What these buyers have in common is that ready-made stock does not quite fit. They need a particular shade, a logo embroidered in the right place, a size range that suits their staff or students, and the ability to reorder the same thing next year.
Start with a written brief
A good brief saves several rounds of messages. Before you ask for a quote, put the following on one page:
- Garments: for example scrub suits, lab coats, school shirts and trousers, PT uniforms or staff polos.
- Quantities: an estimate per garment, even if it will change.
- Colours: a Pantone reference, a photo in daylight, or an existing uniform you can courier as a reference.
- Fabric preference: blend, weight and feel. If you are unsure, describe how the garment will be used and washed.
- Logo and embroidery: artwork file, position, size, and whether staff names or titles are needed.
- Labels: our label, no label, or your own brand, size and care labels.
- Delivery city and the date you need the uniforms in use.
If names or titles will be embroidered in Arabic as well as English, send the exact text as a file rather than typing it into a message, and have a native reader check the sample.
Climate and fabric choices
Much of Saudi Arabia is hot for long stretches of the year, while indoor areas are often strongly air-conditioned. Staff may move between the two many times in a shift. That pushes many buyers towards lighter, breathable fabrics with some stretch, in colours that do not show sweat easily.
Ask any supplier for the fabric specification in writing: composition, weight and any finish applied. If you see claims about special finishes, ask what they are and how they hold up after repeated washing. A fabric swatch or a sample garment tells you more than a description. Our guide to air freight vs sea freight also explains how sending swatches and samples fits into the timeline.
Samples across the distance
When you are ordering from another country, the sample becomes even more important, because you cannot walk into the factory to check progress. The usual sequence is:
- Agree the brief and quote.
- The sample is stitched in your fabric, colour and embroidery.
- The sample is couriered to you, and the courier cost is shown in the quote.
- You check it in daylight, have someone of the right size try it on, and send one consolidated list of comments.
- Any changes are made, and the approved sample becomes the reference for bulk production.
Build the courier time both ways into your plan. For schools, that means starting conversations well before the academic year begins.
Shipping, import charges and paperwork
Depending on the quantity and your date, bulk orders travel by air courier or sea freight. Smaller or urgent orders usually suit air; larger orders with time to spare can suit sea freight.
Import duties, VAT and clearance charges in Saudi Arabia are paid by the buyer unless something different is agreed in writing. Rules and rates change, and requirements can depend on the type of goods and the importer, so confirm the current position with your customs broker or freight forwarder before you confirm the order. Ask them too whether any product registration, conformity paperwork or labelling is needed for your goods. Our explainer on DAP vs DDP terms shows how the delivery terms in a quote affect who handles what.
Time zones and communication
India is two and a half hours ahead of Saudi Arabia. That overlap is generous: a morning message from Riyadh or Jeddah lands in the Indian late morning, and most questions can be answered the same working day. Our hours are Monday to Saturday, 9:00 am to 6:00 pm IST, which covers most of the Saudi working day.
A few habits make long-distance orders smoother:
- Keep one named contact on each side.
- Confirm decisions in writing, even after a call.
- Share photos of anything you are unsure about, from colour cards to logo placement.
How we handle orders for Saudi Arabia
Uniforms are cut and stitched to order at our manufacturing unit in Konni, Pathanamthitta, Kerala. For Saudi buyers we make scrubs, lab coats, nurse uniforms, staff and housekeeping uniforms and school uniforms in custom colours, fabrics and sizes, with logo and name embroidery. We do not supply surgical or patient gowns for orders outside India. Brands can have their own labels sewn in through our private label service.
A sample can be made before bulk production, and any sample charge is stated in the quote. The minimum order and lead time are confirmed in each quote, and shipping is itemised. Payment is by bank transfer on terms agreed before confirmation. Misharen is a registered business and a registered brand in the UAE and the UK, and we keep records of fabric, colour, style and size breakdown so reorders match.
