College and Department Embroidery for Fests and Events
Custom Uniforms team · · 5 min read
Colleges, departments, NSS and NCC units, alumni associations and fest committees can have their logo, unit name or event name embroidered on polos, caps and bags, including ones they buy locally or already have. The usual approach is one approved logo, a clear count by item and size, a sample photo checked by a named staff coordinator, and a firm date for sizes. Embroidery suits these groups because small batches are fine and the items are kept long after the event.
Who in a college orders embroidery
- Departments that want a polo or cap for students and staff, often for an association inauguration, an industrial visit or a department day.
- NSS units for camp volunteers and service days, where a common polo or cap makes the group easy to spot.
- NCC units for items worn outside formal parade dress, such as polos and caps for camps and events, within whatever the unit’s officers allow.
- Fest and tech-fest committees for organising teams and volunteers, sometimes with a different colour per team.
- Alumni associations for reunion polos, caps and bags, often with the batch year.
- College sports teams and clubs for travel polos, caps and kit bags.
- College staff for administrative or support uniforms with the college name.
Each group usually works independently, with its own budget and timeline, even though they share the college logo.
Start with the right logo
Most colleges have an official emblem with a crest, a motto and the full college name in a circle. That works on a letterhead, but at chest size the motto and small text may not stay readable in thread. Before ordering, decide which version to use:
- The full emblem for larger positions, such as the upper back of a polo or a bag front.
- A simplified emblem with the motto removed, for the left chest.
- The college short name or initials for cap sides and sleeves.
If the logo belongs to the college rather than your group, ask the office or principal which version you may use and get the clearest file they have. A vector file is ideal; a clear PNG, JPG or PDF is enough to start. Avoid photographing a printed certificate or banner. Our guide on how to prepare your logo for embroidery explains how to simplify detail for thread.
Combining the college and your group
Department, NSS, NCC and fest groups usually want both the college identity and their own name. Common layouts:
- College emblem on the left chest, department or unit name on the sleeve.
- College emblem on the left chest, fest name and year on the upper back.
- Unit logo on the left chest, college short name on the sleeve.
- Cap front with the fest or unit logo, college initials on the side.
Keep each element in its own position rather than crowding everything into one chest logo. It looks cleaner and each part stays legible.
Fest and event items with a year
Fests and reunions often add the year. That makes the item a keepsake, but it also means the batch cannot be reused next year. Two ways to handle this:
- Put the year in a separate, small position such as the sleeve or cap side, so the main logo stays the same each year and only the year changes.
- For alumni, use the batch year as part of the design, since that does not change.
If the fest has its own logo, check that it suits embroidery. Fest logos are often designed for posters, with gradients and thin lines. A simplified, solid-colour version for thread usually looks better.
Buying the garments
We embroider garments you bring or courier to us, so the group can buy polos, caps or bags from its usual supplier. A few points help the embroidery:
- Pique polos hold a chest logo more neatly than very thin, stretchy t-shirts.
- Structured caps keep the front logo flat; check where the centre seam runs.
- Bags need a flat area free of pockets, zips and thick padding where the logo goes.
- Garment colour and thread colour go together. If teams have different polo colours, check that one thread scheme shows up on all of them, or plan a second version for dark colours.
Buy a few spares. Late registrations, a guest speaker or a staff coordinator who wants one too are common.
Collecting sizes in a college
Size collection is where most college orders slow down. Students are busy, class representatives change and the sheet goes round several groups. To keep it moving:
- Use one shared form or sheet with name, class, item and size.
- Give a firm closing date and say clearly that late entries get spares only.
- Have one person per class or team chase their group.
- If names are stitched, ask each person to type their own name and check the spelling.
When the sheet is closed, total it by item, colour and size before you send it.
Planning around the event date
Work backwards from when the items need to be handed out:
- Decide the logo version and positions, and get any permission needed from the college office.
- Collect sizes and names, with a firm deadline.
- Buy the garments and send them to us with the list.
- Approve the sample photo. Name one staff coordinator and one student lead who can approve on WhatsApp, rather than waiting for a meeting.
- Allow for the embroidery time we confirm in the quote and the return by courier or collection.
Approval and sizes are the steps that slip most often. Exams, holidays and changing committees can stall both, so build in a margin.
Keeping it going next year
Committees change every year, and the next team often starts from nothing. Ask us to keep the logo on record, and leave a note with the department or college office listing the approved logo version, thread colours, positions and garment details. Next year’s team can then reorder without repeating the work.
How we handle college and department embroidery
Embroidery is one of our main services, running now at our unit in Konni, Pathanamthitta, Kerala. We embroider college, department, unit, fest and alumni logos, names and short text on polo t-shirts, caps, bags and uniforms, including items you bring or courier to us, and small quantities are accepted. We digitise each logo once and keep it on record for repeat orders, with any one-time digitising charge confirmed in the quote. We stitch a sample and send a photo on WhatsApp for approval before the full quantity, then return the order by courier across India, with the charge in the quote, or you collect it from the unit. For school groups rather than colleges, see our school uniforms page.
To plan your department’s or fest’s order, read about our embroidery service, or send the logo, counts and event date on WhatsApp or through our quote form.
