School Uniform Sample Checklist: What to Check Before Bulk
Custom Uniforms team · · 4 min read
Before you approve a school uniform sample, check it with real students, wash it at least once, and go through each garment against a written checklist covering colour, fabric, fit, stitching, badge and labels. This school uniform sample checklist is built for principals, administrators and uniform committees who need to sign off on behalf of hundreds of families. A careful review now prevents a term of complaints later.
Who should review the sample
A school sample is reviewed by more than one person, and that is a strength. Each person notices different things.
- The principal or administrator checks that the uniform matches the school’s image and policy.
- A class teacher notices how practical it is: can a child manage the buttons, does it look tidy by the afternoon?
- The PT teacher checks the sports items for movement and durability.
- A parent representative asks about washing, ironing and replacement.
- Two or three students of different ages actually wear it.
Agree in advance who gives the final sign-off, so feedback does not arrive from several directions with conflicting instructions.
Try it on real students
A sample on a hanger tells you very little about fit. Ask a few students in the sample size to wear it for an ordinary school day if possible, or at least for an hour.
Ask them to:
- Sit on a chair and on the floor.
- Raise both arms above their head.
- Bend down to pick something up.
- Run a short distance (for PT items).
- Fasten and unfasten everything themselves.
Watch for shirts that come untucked, waistbands that dig in, sleeves that ride up, skirts that are shorter than expected when seated, and buttons small children cannot manage.
Wash it before you approve
This is the step most often skipped. A uniform will be washed many times over the year, usually by hand or in a home machine, often with ordinary detergent and dried in the sun.
Wash the sample the way a typical parent would. Then check:
- Has the colour faded or bled onto the white parts?
- Has it shrunk? Measure the length and chest before and after.
- Has the collar kept its shape?
- Has the badge embroidery puckered the fabric around it?
- How long did it take to dry?
If something changes noticeably after one wash, raise it with the supplier before approving. Our school uniform fabric guide for the monsoon explains what to expect from common fabrics.
The school uniform sample checklist, garment by garment
Go through each item separately and note anything that needs to change.
Shirts
- Collar shape and stiffness; does it sit flat under a tie if you use one?
- Button size, spacing and how firmly they are sewn.
- Pocket position, and whether the badge sits on or above it.
- Shirt length: long enough to stay tucked in.
Trousers and shorts
- Waistband type and adjustment.
- Belt loops if belts are part of the uniform.
- Pocket depth and strength.
- Hem allowance for growing students.
Skirts, pinafores and salwar sets
- Length measured against your policy.
- Pleat finish after washing.
- Fastenings that children can manage.
- Dupatta or overlay length and how it is secured.
PT and house t-shirts
- Neckline recovery after stretching.
- Colour match against your house reference.
- Badge or house name readable from a distance.
All garments
- Colour in daylight against your reference.
- Badge size, position, thread colours and spelling, checked letter by letter.
- Size labels, and your school’s own labels if you asked for them.
Approve the size chart as well
One sample in one size does not confirm the whole range. Ask for the full size chart with garment measurements, and if possible see the smallest and largest sizes too. A badge that looks right on a size 28 shirt may look oversized on a pre-primary shirt, so confirm whether the badge is scaled for small sizes, and write the answer down.
Recording the sign-off
Write down exactly what has been approved: fabric, colour, style, badge, labels and any changes requested. Send it to the supplier in one message, and keep a copy. Keep the approved sample at school, labelled and unworn, as the reference for this order and future reorders.
If changes were requested, ask whether a revised sample is needed or whether photos will be enough. For anything affecting fit or colour, a second sample is usually worth the wait.
How we handle school samples
At our unit in Konni, Pathanamthitta, Kerala, we can make a sample of each uniform item in your chosen fabric, colours and badge before bulk production. Any sample charge is written into your quote. Once you approve, the order is made to match the sample, and we keep records of the fabric, colour, style and size breakdown for reorders. Our general post on why sample approval matters explains the wider reasons.
When you are ready to plan your order, see how we work with schools or request a sample and quote.
